Writing a bank check might sound unfamiliar, but it's actually a fundamental financial skill many people need when making payments, transferring money, or dealing with business partners. If you're struggling to write a bank check correctly , avoiding mistakes, and getting it accepted by the bank, then this article is for you. With just a few simple steps like writing the date, recipient's name, the amount in both numbers and words, and adding a signature, you can confidently write a standard check. This article will help you understand quickly, do it correctly, and use it immediately, even if you've never written a check before.

Part 1: How to fill out a bank check quickly and correctly

Record the check issue date.

  • Fill in the current date in the line in the upper right corner of the check.

  • It's best to record it in the date/month/year format to avoid confusion when the bank processes the transaction.

Write the name of the recipient.

  • Look for the line “Pay to” or “Pay to the order of” .

  • Write the full and accurate name of the individual or organization receiving the money so that the check will be accepted for payment.

Write the amount in numbers.

  • In the box next to the currency symbol ($) , write the exact amount to be paid .

  • Example: 23.45, no extra characters and no rounding.

Write the amount in words.

  • Write the amount in words right below the recipient's name.

  • The amount in words must match the amount in numbers exactly to avoid the transaction being rejected.

Sign to confirm

  • Sign with the signature registered with the bank in the line in the lower right corner .

  • Do not sign incorrectly or omit signatures, as the check will be invalid.

Write down the details in the notes section (if needed).

  • Fill in the information in the memo box in the bottom left corner.

  • You can specify the purpose of payment, such as: payment for goods, payment for services, or refund, to facilitate reconciliation later.

Part 2: How to write a bank check correctly and avoid errors during transactions.

Step 1: Date the bank check.

  • Write the current date in the line in the upper right corner of the check, in the blank space next to or above the word "Date".

  • Note: Checks are legal documents , so the date on the check must match the date you sign at the bottom of the check.

  • Do not backdate or predate the check, as this may render it invalid or result in the bank refusing payment.

Step 2: Write the recipient's name on the bank check.

  • Write the recipient's name on the line that says "Pay to the Order of" .

  • This information is mandatory because checks can only be paid to the person or organization named on the check.

In the case where the recipient is an individual

  • Write your full name , do not use abbreviations.

  • If the recipient's name has a suffix such as Jr. or Sr. , it must be written exactly as it appears in the legal documents to avoid errors when the bank verifies the information.

In cases where the recipient is a company or organization

  • Write the full, official name of the business/organization .

  • Do not use initials or symbols unless you are specifically given those initials to use on the check.

  • If you are unsure of the legal name, verify it before writing the check .

In the case of writing "Cash" (cash)

  • You can write "Cash" as the recipient, but you need to be very careful.

  • When written in that way, anyone holding the check can withdraw the money , increasing the risk of loss.

Why is it important to write the recipient's name correctly?

  • A check is a legal document , bearing a date of issue and a signature confirming its authenticity.

  • The recipient also needs to sign when depositing the check, and the bank has the right to refuse payment or deposit if the recipient's information is unclear, incorrect, or incomplete.

Step 3: Write the amount in numbers on the bank check.

  • Write the amount to be paid in the box to the right of the currency symbol ($) .

  • Record both the main amount and the change (dollars and coins) accurately , even if there is no change.

  • For example, if the check is for twenty dollars , write 20.00 instead of just 20.

Important note when recording the amount of money.

  • Do not round or estimate the amount.

  • Do not leave any spaces after the numbers to avoid adding unwanted numbers.

  • The amount in numbers must perfectly match the amount in words in the line below.

Step 4: Write the amount in words on the bank check.

  • Write the amount in words on the line directly below “Pay to the Order of” .

  • This content must perfectly match the amount written numerically in the box to the right of the currency symbol.

How to record the change (cents)

  • If you have change, please specify the number of cents to avoid misunderstandings.

  • For example: Twenty dollars and 0/100 cents .

In case there is no change

  • You can write "even" at the end to indicate a round number.

  • Example: Twenty dollars even .

How to fill out the form to avoid extra charges.

  • You could also just write "Twenty" , then draw a straight line extending from the end of the word to the end of the blank line .

  • This method helps prevent others from adding unwanted text or amounts .

Step 5: Sign the bank check.

  • Sign your name in the line in the lower right corner of the check.

  • The signature must be the personal signature registered with the bank when opening the account.

Important note

  • Without a signature , the check will be legally invalid and the bank will refuse to pay.

  • Do not sign on behalf of someone else, or use a signature different from the registered one, as the check may be considered invalid .

Step 6: Fill in the memo section on the bank check.

  • Write the details in the memo box in the lower left corner of the check.

  • This section is optional , but very helpful so that you and the recipient remember the purpose of the payment .

What should I write in the memo section?

  • Briefly state the reason for writing the check , for example:

    • Rent for May

    • Payment for services

    • Refund

  • When writing a check for rent, it's important to specify the payment month to avoid confusion.

In case additional information needs to be recorded

  • Many companies or landlords require specific information in the memo section.

  • This may include:

    • Customer code or ID number

    • Number of apartments if rent is paid

    • Contract code or invoice number (if required)

Important notes for writing safe and valid bank checks.

Always record the correct release date.

  • Please use the exact date you signed the check .

  • If you don't remember the exact date, write down an earlier date , not a later date.

  • Post-dated checks are possible, but not everyone accepts them.

Use a dark, indelible ink pen.

  • Always use a blue or black ink pen .

  • Gel pens are recommended because gel ink is more difficult to remove with chemicals than regular ballpoint pen ink.

Draw a blank line after writing the amount in words.

  • If there is still space after writing the amount in words, draw a straight line extending to the end of the line .

  • This method helps prevent others from adding zeros or editing the amount .

Understanding post-dated checks correctly

  • If you don't want the check to be cashed before a certain date, write down the date you want the check to be used .

  • However, it is important to remember that:

    • The bank can still accept a check for immediate deposit , even if the date is in the future.

    • Adding a later date does not guarantee that the recipient will wait until the exact date to withdraw the money .

Always sign as agreed.

  • Sign correctly and exactly as registered with the bank .

  • A signature that is different in stroke or style may raise suspicion and lead to the check being refused payment .

Write the amount exactly as indicated by the currency symbol.

  • When writing the amount in the small box next to the currency symbol ($), write it as close to the symbol as possible .

  • This helps prevent fraudsters from adding extra digits to the numbers.

Tear the check off the stub very carefully.

  • Tear neatly, being careful not to tear the pre-printed MICR line at the bottom edge of the check .

  • This sequence of numbers and the check number (usually located near the check date) are required information for the bank to process the check.

  • If these numbers are torn or partially missing, the check will no longer be valid .

Double-check all the information before issuing the check.

  • Ensure:

    • The recipient's name is spelled correctly.

    • The amount in numbers and in words match.

  • Even small mistakes can cause a check to be rejected by the bank .

Understanding the correct role of the date on a check.

  • The date on the check is not the earliest date for withdrawal , but rather determines the check's validity period .

  • Generally, checks are considered stale and will be refused after 7 years from the date written on the check , unless otherwise specified.

  • In reality, there have been many cases where check writers have been cheated because they believed the recipient would keep the check until the agreed-upon date .

May mà ngân hàng không nhận, chứ chắc giờ mình thành tỷ phú bất đắc dĩ rồi.

Practical knowledge

Expert Q&A

In-depth analysis and practical advice from leading experts.

To write a proper bank check, you need to fill in all the basic information, including: the issue date, the recipient's name, the amount in both numbers and words, a signature in the format registered with the bank, and a memo if needed. These elements ensure the check is valid, avoid errors, and guarantee a secure payment transaction.

Yes. If a check is incorrectly dated, has an incorrect recipient name, a mismatch between the numbers and the amount, or lacks a valid signature, the bank can absolutely refuse payment. Therefore, when writing a bank check, you should carefully check every detail to avoid wasting time and risking the transaction.

You could write "Cash" as the recipient for cash withdrawals, but this method carries risks because anyone with the check can withdraw the money. Therefore, financial experts recommend only writing the name of the individual or organization receiving the money to ensure safety and prevent losses.
