Traveling with family is not just about entertainment; it's also a wonderful opportunity to bond and create unforgettable memories. A well-planned vacation allows you to relax, improve your health, spend quality time with your children, and discover exciting new places.

In this article, we'll share how to effectively plan a family trip , from choosing a destination and creating an itinerary to cost-saving tips, helping you make your trip complete and memorable.

Part 1: How to choose the ideal destination for a family trip

Step 1: How to choose a suitable family travel destination

Before planning a trip, identify common interests with your family to make the journey truly enjoyable:

  • List your family's favorite activities:

    • Hiking, swimming, visiting new places…

    • Recording these activities will help you narrow down your list of suitable destinations.

  • Popular types of destinations for families:

    • Beach: Play in the sand, swim in the sea, relax in the sun; children will have endless fun while you enjoy your leisure time.

    • Lakes: Ideal for families in inland areas; opportunities for boating, kayaking, and enjoying the surrounding natural scenery.

    • Mountains: Ideal for families who love nature and enjoy mountain climbing; it's a great way to exercise and bond with family members.

    • The city: Explore museums, unique architecture, new cuisine; experience rich culture.

    • Cruises: Plenty of activities, shows, and games for children; convenient and diverse.

    • Amusement parks or water parks: Kids will love them; make sure there are adult-friendly activities so the whole family can have fun.

Step 2: How to budget for a family trip

Determining your budget is a crucial step, as it will directly impact your choice of destination and how you plan your trip.

  • Travel costs:

    • Airfare, train tickets, or fuel costs for each member.

    • If you plan to rent a car or take a taxi at your destination, be sure to factor that into your budget.

  • Accommodation costs:

    • Hotels are a popular choice.

    • Large families might consider renting a house, apartment, or cabin for greater cost savings and convenience.

  • Food expenses:

    • Eating out at restaurants is an expense that needs to be factored in.

    • Choosing accommodation with a kitchen can significantly reduce food costs.

  • Entertainment expenses:

    • Tickets to parks, museums, shows, or concerts.

    • Calculate the number of tickets needed for the whole family to ensure an accurate budget.

Step 3: Plan the time for the family trip.

Choosing the right time is key to a smooth family trip:

  • Choose the best time to visit:

    • Summer is often popular because it coincides with school holidays, but spring break or winter are also good options.

    • The weeks between Thanksgiving and Christmas are usually cheaper, but you need to consider your child's school schedule and end-of-year activities.

  • Take advantage of the off-season:

    • Traveling at less-than-ideal times can save you money.

    • For example, Europe in the fall or ski resorts in late spring are often cheaper than during peak season.

  • Adjust to your child's school schedule:

    • Inform the teacher in advance so that the child can complete their homework before going.

    • Avoid traveling during standardized test periods, as it can be difficult to reschedule.

  • Expert tip:

    • Ask friends and family for suggestions, or consult books and the internet for recommendations on suitable destinations.

    • If you're still unsure, talk to a travel planner to get recommendations based on their experience, budget, and planned time.

Part 2: Planning your vacation itinerary, budget, and transportation.

Step 1: Buy plane tickets for your family trip.

Booking your flight early and wisely will help you save money and avoid problems:

  • Buy tickets in advance:

    • It's best to book your tickets 6-8 weeks in advance to get the best price.

  • Young children:

    • Children under 2 years old usually fly for free but must sit on an adult's lap for the entire flight.

  • Compare ticket prices:

    • Use websites like Kayak and Skyscanner to find the best prices.

    • Some airlines, like Southwest, often have daily deals, so check directly on their website.

  • Choose a suitable flight date:

    • Tuesdays and Wednesdays are usually the cheapest, while Fridays and Sundays are often more expensive.

  • Please note regarding luggage:

    • Most airlines limit passengers to two checked bags and one carry-on bag.

    • Encourage children to pack light to avoid hassle.

Step 2: Book accommodation for your family trip.

Choosing the right accommodation will make your family trip comfortable and convenient.

  • Compare prices and types of accommodation:

    • Check out multiple hotels and compare prices.

    • Check out rental properties and apartments on VRBO, HomeAway, or AirBnB.

  • Consider these key factors:

    • Location: close to the city center, within walking distance to attractions or where you can rent a car/taxi.

    • Amenities: includes a kitchen for self-cooking, which is safe and clean.

  • Read online reviews:

    • Ensure reliable, clean, and suitable accommodation for children.

  • Choose an all-inclusive resort package:

    • Some resorts include all meals and drinks, saving both time and money.

  • Expert tip:

    • Ask about special offers for families: airline tickets, hotel rooms, tour tickets, or car rentals.

    • Many places offer discounts but don't advertise them widely, so be sure to ask about them when making a reservation.

Step 3: Plan activities for the family trip.

Activities during the trip determine the level of fun and experience for the whole family:

  • Book popular activities in advance:

    • Buy theater tickets, amusement park tickets, or tour tickets in advance to avoid disappointment.

  • Get the children's opinions:

    • Ask your child what they want to do on the trip. When children are involved in planning, they will feel more excited and cooperative.

  • Check the amenities available at the accommodation:

    • Many hotels or resorts offer activities for children such as games, shows, or treasure hunts, allowing children to have fun while parents can relax.

Step 4: Obtain passports for children traveling abroad.

When traveling abroad by plane, children need passports, regardless of age. For children under 16, parents must submit the application in person at the passport issuing authority and bring the child along. Preparation steps:

  • Fill out the form:

    • Use form DS-11 (do not sign beforehand, sign at the passport issuing office).

  • Prepare your photos and documents:

    • One 2x2 inch color photograph of the child taken within the last 6 months.

    • A certified copy of the birth certificate proving the relationship with the father/mother.

    • Parents' identification documents (passport or driver's license), two copies.

  • Consent from the other guardian:

    • If a parent is unable to be present, a consent form must be completed for the child to be issued a passport.

  • Single parent case:

    • Provide proof of legal custody or a death certificate if you are a widower.

  • Expense:

    • Approximately $120 for children under 16, including expedited processing fees if needed.

    • Payment can be made by credit card, debit card, check, money order, or cash in full denominations.

Step 5: Traveling by plane with children

Flying to your destination is an important part of any trip, especially when traveling with young children. Thorough preparation will help make the journey smoother.

  • Preparing before your flight:

    • Print your boarding pass at home to avoid long lines at the airport.

    • Explain the security procedure to the children: take off their shoes and coats, place their belongings in the tray, and walk along the conveyor belt.

    • Remind children to stay close to you and not to get lost in crowded areas.

  • Pack light:

    • Use a backpack as carry-on luggage to keep your hands free and make it easier to manage your child.

  • Prepare supplies for the child:

    • Car seats or strollers need to go through security; they may have to be left at the gate before boarding.

    • Liquids: The 3oz limit does not apply to breast milk, food, or formula.

  • Keep children busy and entertained:

    • Bring toys, coloring books, stickers, magnets, or games that don't have small parts.

    • Have children listen to music through headphones or turn off electronic devices during the flight.

  • Prepare food and drinks:

    • Bring plenty of snacks like nuts, dried fruit, and cereal bars.

    • Buy bottled water after passing through security so your child can drink when thirsty, as free water on the plane is limited.

Step 6: Travel by car with your family.

When the destination is nearby, driving can be easier and more economical than flying, but you need to prepare to keep children from getting bored during the long journey.

  • Take appropriate breaks:

    • People use the restroom before boarding, then stop every few hours for everyone to relax and attend to personal needs.

  • Adjust to your child's daily routine:

    • Depart at a time when children usually take their afternoon nap so they can rest for most of the trip.

  • Organize documents and information:

    • Keep maps, hotel/camping confirmations, tour guides, and restaurant lists in a neat file folder, placed under the seat.

  • Bring toys and a flat surface for the child to play on:

    • Use a cake tray or a small portable table for children to draw, play with puzzles, build with construction toys, or engage in other creative games.

  • Organize a scavenger hunt game:

    • Print out pictures of the landmarks at each stop (statues, buildings, famous trees) and assign the children the task of finding them.

  • Encourage good behavior:

    • Prepare some coins and reward children when they behave well and complete tasks; this money can be used to buy souvenirs at the destination.

  • Nighttime games:

    • Bring along glow-in-the-dark toys for children to play with when traveling at night.

Part 3: Secrets to Enjoying a Perfect and Fun Family Vacation

Step 1: Create a flexible schedule for your family trip.

Once you arrive at your destination, keeping the schedule flexible will help the whole family enjoy the trip more comfortably.

  • Don't cram too many activities into one:

    • Each day should only include 1-2 major activities, such as visiting the zoo or aquarium.

    • Depending on the child's age and stamina, always allow for rest periods between activities.

  • Pay attention to the hours of intense heat:

    • Avoid strenuous outdoor activities between 10:00 AM and 2:00 PM in the summer to prevent children from getting tired.

  • Stay flexible:

    • If your child is irritable or tired, don't force them to follow a rigid plan; prioritize their health and mood.

Step 2: Create memorable moments for your family trip.

A trip is not just an experience in the present, but also creates precious memories for the future.

  • Encourage children to preserve memories:

    • Collect small items from your trip such as entrance tickets, candy wrappers, seashells, or a jar of sand/mud from your favorite beach.

    • These items help children recall happy experiences and strengthen family bonds.

Step 3: Respect individual preferences during family trips.

Not all family members want to do the same thing. Let everyone pursue their own interests flexibly.

  • Allow the small group to split up:

    • For example, you and your daughter want to go shopping, while your partner and son want to learn surfing.

    • Temporarily splitting the group allows each member to enjoy the trip in their own way without affecting the overall experience.

Step 4: Set aside quality time for your parents during the family trip.

Family travel doesn't mean parents have to sacrifice their private time:

  • Utilize the hotel's babysitting service:

    • Many hotels offer babysitting services, allowing parents to enjoy a date night, dinner, or sightseeing trip on their own.

  • Collaborate with other families:

    • If traveling with friends who have children, the two families can take turns caring for the kids, allowing each pair of parents some private time.

Family travel that's both budget-friendly and fun.

A trip doesn't necessarily have to be expensive to create a memorable experience:

  • Explore nearby:

    • Try taking a stroll in a different neighborhood or enjoying a meal at a new restaurant.

  • Take advantage of affordable attractions:

    • State parks, picnic areas, or cabins/campsites are fun, nature-friendly, and cost-effective options.

Chuyến đi Đà Lạt năm ngoái, mình lo mang áo lạnh, thuốc men, đồ ăn vặt… nhưng quên mất món đồ chơi con gái hay ôm ngủ.

Practical knowledge

Expert Q&A

In-depth analysis and practical advice from leading experts.

Choosing a destination can be challenging if each family member has different travel preferences. The key is to sit down together and list activities everyone enjoys – like swimming, hiking, or exploring the city. Then, find a destination that caters to most of those preferences. For example, a resort near the beach but also close to entertainment areas or night markets would be ideal for the whole family.

To save money, you should plan early and look for deals like cheap flights, hotel-tourist packages, or renting an entire house instead of staying in a hotel. Additionally, choosing to travel during the off-season or on weekdays can significantly reduce costs. Don't forget to bring snacks and take advantage of accommodations with kitchens to cook your own meals – it's both economical and ensures everyone enjoys delicious food.

Planning is essential, but don't be too rigid. You should only plan one or two main activities each day, leaving the rest of the time for rest or free exploration. Young children tire easily, so be flexible and make adjustments if they aren't cooperating. A relaxed schedule will help the whole family enjoy the trip more fully without feeling pressured to rush through too many activities.
